Job Purpose

To assist in all travel activities for Emirates Nuclear Energy Corporation (ENEC) employees and related business associates.  This includes ongoing business-training-related travel for employees, consultants, and contractor staff as well as consistently ensuring optimal pricing and customer service for all travel-related expenses and activities.

Key Activities, Responsibility & Accountability

Travel bookings coordination
Responsibilities and Accountabilities:  
•    Arrange airline tickets for new employees relocated to UAE, or for resigned/terminated employees or for existing employees travelling on business/training missions
•    Provide research about destinations, plan trips for the employees and their families if required in accordance to HR policy manual
•    Arrange accommodation for employees going on business/training missions inside or outside UAE
•    Arrange local transportation and meals if required for the employees going on business/training mission outside UAE
•    Process internal ENEC approval for travel arrangements, make three quotations and recommend the best agent for HR & Administration Director to approve
•    Liaise with hotels, airlines and agents to confirm bookings in order to avoid any delay
•    Answering employees’ queries regarding their travel arrangement and the status of the bookings
•    Provide employees with confirmed booking details and advice on employees in case of any change to the trip plan and bookings
•    Advice Finance, HR, Training in case of cancelation of trip or a change occur to the trip plan 
•    Implement appropriate filing and data retrieval systems to ensure proper data management for any travel arrangements
•    Review invoices for agent/airline/hotel/transportation and other services required for payment processing in order to ensure accuracy of cost
External Relationships
Responsibilities and Accountabilities: 
•    Develop and maintain good working relationships with agencies, hotels, caterers, restaurants, etc. to ensure prompt resolution of issues
•    Provide high level of service on such activities as following up on ticket exchanges, reservation amendments and cancellation to provide an effective and prompt service
